AI Transparency

myWorkMate uses artificial intelligence to support entrepreneurs and their employees with administrative, commercial, and operational activities.

We believe it is important that users, customers, and other individuals understand when AI is being used, what AI can do within myWorkMate, and where human responsibility remains.

This statement provides information about the use of AI within myWorkMate and supports our compliance with Regulation (EU) 2024/1689, the European Artificial Intelligence Act ("EU AI Act"), including the transparency obligations set out in Article 50.

1. How myWorkMate Uses AI

myWorkMate uses AI for purposes including understanding natural language, processing instructions and messages, and supporting or automating business processes. Depending on the features and modules used, AI may, for example, be used for:

understanding messages received through WhatsApp and the myWorkMate interface;

identifying a user's intent;

processing and structuring customer and lead information;

preparing quotations and invoices;

drafting emails, WhatsApp messages, and other communications;

answering and classifying customer enquiries;

scheduling and supporting appointments;

suggesting follow-up actions;

supporting CRM processes;

analysing and structuring business information;

performing tasks through AI assistants and specialised AI agents.

The capabilities available depend on the user's subscription, activated modules, integrations, and settings.

2. Interaction with an AI Assistant

When an individual communicates directly with a myWorkMate AI assistant, it will be made clear that they are interacting with an AI system where this is not already evident from the context. This may, for example, be communicated through an introductory message, an indication within the user interface, or another clear notification.

This is consistent with Article 50 of the EU AI Act. The European Commission confirms that individuals should be clearly informed from the beginning of their first interaction that they are interacting directly with an AI system, unless this is already obvious from the circumstances.

Important for myWorkMate

This should therefore not only be stated on this legal page. The actual WhatsApp and chat flows should also implement this technically.

For example, at the beginning of the first interaction: "You are chatting with the AI assistant of [Company Name], powered by myWorkMate. The assistant can help you with questions, appointments, quotations, and other requests."

3. AI Agents within myWorkMate

myWorkMate may provide various specialised AI assistants or AI agents designed to support specific business processes. Depending on the permissions granted to it, an AI agent may:

collect and structure information;
generate suggestions;
retrieve data;
create draft documents;
initiate workflows;
perform permitted actions within the platform.

An AI agent operates solely within the technical capabilities, configured permissions, and available data of the relevant organisation.

4. Human Oversight and Approval

myWorkMate is designed to support entrepreneurs, not to assume responsibility for their business operations. For certain actions, myWorkMate may require explicit confirmation or approval before the action is performed. This may, for example, apply to:

final quotations;

invoices;

payments and refunds;

agreements;

important customer communications;

changes to customer data;

other actions that may have financial or legal consequences.

myWorkMate is being designed to support configurable AI agents and workflows. This statement therefore allows for different levels of automation, while maintaining appropriate safeguards and responsibility.

5. No Guarantee of Error-Free AI Output

AI systems are probabilistic in nature. AI-generated output may therefore be inaccurate, incomplete, outdated, or unsuitable for a particular situation.

Users should review AI-generated information before relying on it for decisions that may have significant financial, legal, tax, employment, or other consequences.

myWorkMate is not a substitute for professional legal, tax, financial, or other specialist advice.

6. Automated Decision-Making

myWorkMate is not intended to make decisions concerning individuals, without appropriate human intervention, that produce legal effects or otherwise significantly affect them, unless such processing has been lawfully implemented and complies with the applicable legal requirements.

If features are introduced that enable such decision-making, the applicable information requirements and safeguards will be implemented separately.

7. AI Providers

myWorkMate may use specialised external technology and AI providers to deliver AI functionality. Our Privacy Policy currently identifies providers including OpenAI, Anthropic, and Google.

Depending on the functionality being used, relevant information may be provided to such a provider in order to process a request or perform a task.

Data minimisation: only data that is reasonably necessary for the relevant processing should be provided.

8. Personal Data and AI

When personal data forms part of an AI request or task, it is processed in accordance with our Privacy Policy and, where myWorkMate acts as a processor, in accordance with the arrangements made with the relevant customer.

No own model training

myWorkMate does not use customer data to independently train its own general-purpose AI models.

External providers

Where external AI providers are used, business/API services and contractual safeguards are used in accordance with the applicable arrangements with those providers.

9. Controller and Processor

For personal data required for our own business operations — such as account administration, subscriptions, security, support, and statutory administration — MKX Technologies may act as the data controller.

For personal data processed by an entrepreneur through myWorkMate concerning their customers, leads, employees, or other data subjects, the entrepreneur will generally act as the data controller and myWorkMate will generally act as the data processor.

Under the GDPR, a processor processes personal data on behalf of a controller. Further information about these roles is provided in our Privacy Policy and, where applicable, our Data Processing Agreement.

10. AI-Generated Content

Where required by the EU AI Act, AI-generated or AI-manipulated content will be made identifiable as such or technically marked in accordance with the applicable requirements.

For certain generative AI systems, Article 50 also contains requirements concerning machine-readable detection or marking of AI-generated content. The precise obligations applicable to myWorkMate depend, among other things, on its role as a provider or deployer of the relevant AI system and on the type of content being generated or processed.

11. Biometrics and Emotion Recognition

myWorkMate does not currently use AI for biometric categorisation, remote biometric identification, or emotion recognition.

If such functionality is introduced in the future, the applicable legal requirements, risks, and transparency measures will be assessed before the functionality is made available.

12. Logging and Monitoring

For purposes including security, troubleshooting, accountability, auditability, and support, actions performed by users, AI assistants, and automated processes may be logged.

Applicable retention periods and the purposes for which such information is retained are described in our Privacy Policy and/or Data Processing Agreement.

13. AI Literacy and Responsible Use

Users who deploy AI functionality on behalf of an organisation remain responsible for the appropriate use of the available features, permissions, and automation settings.

myWorkMate may provide documentation, instructions, safeguards, and other measures to support the responsible and informed use of AI functionality. Organisations using myWorkMate should ensure that persons operating AI functionality have an appropriate level of knowledge and understanding in relation to the AI systems they use.

14. Changes to this AI Transparency Statement

AI technology and the applicable regulatory framework continue to evolve. We may therefore update this AI Transparency Statement when our AI functionality, providers, processing activities, or legal obligations change. The most recent version will be made available through myWorkMate and/or our website.
